Getting Started
First-time setup — complete these steps before entering data

Get Your Account
Webgox ERP is invite-only. Contact +880 1402 739898 (WhatsApp) or rhtahsan979@gmail.com to request access. Once activated, sign in using your email and password.

Set Up Company Profile
Go to Admin → Company Profile. Enter your business name, owner name, address, phone, logo, and invoice header text. This appears on every printed invoice and quotation.

Set Currency
Go to Settings → Currency. Choose your currency symbol (default: ৳). This updates every amount display and printed invoice across the entire system.

Add Product Categories & Units
Go to Admin → Category Entry to create product categories (e.g. Electronics, Clothing). Go to Admin → Unit Entry and check the units you use (KG, Pcs, Bottle, etc.).

Add Products
Go to Inventory → Add Product. Fill in product code, name, category, unit, purchase cost, selling price, opening stock, and reorder alert level.

Add Clients & Suppliers
Go to Contacts → Client Directory to register customers. Go to Contacts → Supplier Management to register vendors. These become selectable in sales and purchase entries.

Business overview and analytics at a glance
Dashboard Overview
Shows today's total sales, purchases, expenses, and net profit as stat cards. Also displays account balances (Cash, Bank, MFS), low-stock alerts, and a recent sales list. For sales/profit trends over time, see Business Monitor's Sales chart and Monthly Profit Trend.
Business Monitor
Advanced analytics. Filter by any date range to see total revenue, expenses by category, top-selling products, gross profit, and monthly performance trends. Great for weekly and monthly reviews.
Sales Module
Point-of-sale, returns, quotations, and sales history
Sales Entry (POS)
The main point-of-sale screen. Select customer, add products to cart, set discount/VAT/transport, enter payment amount and method, then submit to auto-generate an invoice.
Steps:
Go to Sales → Sales Entry
Select customer (or leave Walk-in)
Search and add products to cart
Adjust discount, VAT, transport if needed
Enter amount paid and payment method
Click Submit Sale — invoice is created
Click Print Invoice to print the receipt
Sales Return
Process a product return from a customer. Loads the original invoice, lets you enter return quantities, and automatically restores stock back to inventory.
Steps:
Go to Sales → Sales Return
Enter the original invoice ID (e.g. SL-00012)
Click Search to load the items
Enter return quantity for each product
Submit — stock is automatically restored
Quotation
Create a price estimate for a customer without recording a sale. Print a formal quotation document. When the customer agrees, create a sale manually in Sales Entry.
Steps:
Go to Sales → Quotation
Select customer and add address
Add products and quantities to cart
Click Save Quotation
Click Print to print the quotation
Sales Record
View all past sales. Filter by date range, customer name, or invoice ID. Click any record to view or reprint the invoice. Summary row shows totals for the filtered result set.
Tip: Invoice numbers are auto-generated as SL-00001, SL-00002, etc. Every sale automatically deducts stock from inventory.
Purchase Module
Stock procurement, returns, and purchase history
Purchase Entry
Record stock received from a supplier. Select Retail or Wholesale type, choose the supplier, add products, enter total and amount paid. Stock is automatically added to inventory.
Steps:
Go to Purchase → Purchase Entry
Select Retail or Wholesale type
Choose supplier name
Add products and quantities to cart
Enter amount paid and payment method
Submit — stock is added automatically
Purchase Return
Return goods back to a supplier. Loads the original purchase items and lets you enter return quantities. Stock is deducted when submitted.
Steps:
Go to Purchase → Purchase Return
Select supplier and purchase invoice
Click Search to load the purchased items
Enter return quantities per product
Submit — stock is reduced accordingly
Return Record
View history of all purchase returns. Filter by supplier and date range. See returned products, quantities, and total amounts for each return.
Purchase Record
Full history of all purchases. Filter by date, supplier, or type (Retail/Wholesale). View invoice details and reprint purchase invoices directly from this screen.
Tip: Use Retail for regular supplier purchases. Use Wholesale for large bulk orders — purchase invoices reflect the type automatically.
Accounts & Payments
Cash, bank, expenses, payments, and financial statements
Cash View
Real-time balances for all your payment accounts in one screen — Cash drawer, Bank accounts, and MFS wallets (bKash, Nagad, Rocket).
Expense Entry
Record any business expense — rent, utilities, transport, supplies. Select category, amount, payment method, and add a note. All expenses flow into financial reports.
Bank Transaction
Transfer money between your internal accounts. Example: move cash from drawer to bank, or bank to bKash. All internal transfers are tracked.
Receive Payment
Collect outstanding dues from customers. Select the customer, enter amount and payment method. A unique TXN ID is generated and the customer's due balance is updated instantly.
Pay Supplier
Pay outstanding dues to suppliers. Select supplier, enter amount and payment account. The supplier's due balance is updated and your account balance is deducted.
Balance Sheet
Snapshot of your financial position — total assets (cash + receivables), liabilities (supplier dues), and net equity. Summarizes your business worth at any point.
Cash Statement
Complete cash flow for any date range. Shows all money in (sales, customer payments, purchase returns) and money out (purchases, expenses, supplier payments), paginated 10 per section, newest first.
Owners
For businesses with multiple partners: register each owner's name, phone, and role/title. Edit or remove an owner at any time.
Owner Transaction
Record an owner Withdrawal (money taken out) or Contribution (money put in). Both adjust the selected cash/bank account and Owner's Equity — neither affects Net Profit, which reflects business operations only.
Owner Report
Full ledger of every owner transaction, filterable by owner, type, and date range, with Withdrawn / Contributed / Net totals. Also visible on the Balance Sheet (Owner's Equity) and Cash Statement.
HR & Payroll
Employee management and salary processing
Add Employee
Register staff with their name, designation/role, and monthly salary. Mark them active or inactive. Active employees appear in the salary processing screen.
Employee List
View all registered employees with their roles, salary amounts, and active/inactive status. Edit employee details or update their status directly from this list.
Pay Salary
Process monthly salary for an employee. Select employee, confirm amount and payment account (Cash/Bank/MFS), then submit. Auto-recorded as an expense under the "Salary" category.
Salary Payment Report
View salary payment history filtered by employee and date range. Switch between Summary (total per employee) and Detail (individual payment records) views.
Inventory Management
Products, stock levels, transfers, and damage tracking
Add Product
Create new products with code, name, category, unit, purchase cost, selling price, opening stock quantity, and reorder alert level. Each product gets a unique auto-generated code.
Stock Management
View all products with current stock levels, purchase cost, and selling price. Edit product details or manually adjust stock quantities for corrections (e.g. physical count discrepancies).
Re-Order List
Automatically shows products that are Out of Stock or below their reorder alert level. Displays stock status and the threshold set for each product so you know what to restock first.
Product Price List
View all products with purchase cost and selling price side by side. Filter by category. Print as a reference list for sales staff or for pricing decisions.
Branch Transfer
Transfer stock between branches or locations. Select product, source branch, destination branch, and quantity. All transfers are recorded with date for full audit history.
Damage Entry & List
Record damaged products with invoice number, date, product, quantity, unit cost, and reason. The Damage List lets you filter by product or date range and see total financial loss.
Stock is automatic: Every sale deducts stock. Every purchase adds stock. Returns restore or deduct stock accordingly. Manual adjustments available via Stock Management.

Admin & Settings
System configuration, users, permissions, and data management
Category Entry
Create and manage product categories (e.g. Electronics, Clothing, Food). Add a description and optional image. Categories appear in product entry and all filter dropdowns.
Unit Entry
Enable or disable units of measurement (Pcs, KG, Litre, Box, Bottle, etc.) using checkboxes. Active units appear in the product unit dropdown when adding or editing products.
Company Profile
Set your business name, owner, phone, email, address, logo, and invoice header. Choose print type (POS/PDF/Memo) and configure invoice due date and currency.
User Entry
Add staff accounts with name, username, password, role, phone, email, and profile photo. Staff log in with their username under your business email as the company identifier.
User Access
Control exactly what each staff member can do. 99 permissions across 12 groups, each with Entry / Update / Delete sub-controls. Use a Quick Role Template (Product & Sales Staff, Sales Staff, Inventory Staff, Cashier/Accounts Staff, or Manager) to apply a sensible starting set, then adjust individual checkboxes as needed. Only the Manager template includes Settings access — every other role is excluded from it by default.
Settings
Change currency symbol, update shop details, bulk-import products via CSV, and export/import all business data as a JSON backup file for safekeeping or migration.
Trash
Every delete is recoverable for 45 days instead of being permanent. Restore a record back to its list, or permanently delete it early. Owner and Manager only.
Activity Log
A running feed of who created, updated, deleted, or restored what — and when. Filter by date, action, type, or user. Owner and Manager only.
Webgox ERP is a business management system used by your supplier or the business you deal with. It manages their sales, purchases, inventory, and accounts — and tracks your transaction history with them.
Invoices Every purchase you make is recorded with a unique invoice number and full itemized details.
Due Balance If you paid partially, your outstanding balance is tracked and updated with every payment.
Returns Product returns are processed via the system with automatic stock and balance adjustments.
Understanding Your Invoice
What each field on your invoice means
Invoice Number
Every sale has a unique number (e.g. SL-00001). Keep this for your records — you need it for returns, payment queries, and getting invoice reprints.
Total / Paid / Due
Total = full invoice amount. Paid = amount you paid at the time. Due = remaining balance you still owe the business.
Discount & VAT
The invoice shows any discount applied to your purchase and any VAT charged. Both are listed as separate line items for full transparency.
Transport Charge
If a delivery charge was applied, it appears as a transport fee added to the invoice total. Contact the business if you have questions about any charges.
Making Payments
How to pay outstanding dues to the business

Contact the business and provide your name or invoice number.

The operator goes to Accounts → Receive Payment, selects your name, and enters the amount and payment method.

A unique Transaction ID (e.g. TXN-A1B2C3D4) is generated. Keep this as proof of payment.

Your due balance is updated immediately. Ask the business to print a payment receipt at any time.
Accepted methods: Cash, Bank Transfer, bKash, Nagad, Rocket, or any MFS wallet the business uses.
Returning a Product
How product returns are processed
Bring the product and your invoice number to the business.
The operator opens Sales → Sales Return and enters your invoice number.
They click Search to load your purchased items.
They enter the quantity being returned for each product.
Return is processed — due balance is adjusted and product goes back into stock.
Note: Return policies vary by business. Always contact the business before bringing items for return.
Frequently Asked Questions
Common questions from clients
How do I know how much I owe?
Ask the business to check the Customer Due List or look up your name in the Client Directory. They can see your exact outstanding balance and provide a printout.
How do I get a copy of my invoice?
Give the business your invoice number (e.g. SL-00012). They can look it up in Sales Record and reprint the invoice for you at any time.
What is a quotation?
A quotation is a price estimate — it is not a confirmed sale. No money changes hands. When you agree on the price, the business creates a sale invoice from it.
Can I check my payment history?
Yes. Ask the business to open Reports → Customer Payment Report and filter by your name. They can show or print a full list of all your payments with TXN IDs.
Is my data safe?
Yes. Each business on Webgox ERP has a completely separate, isolated database. Your transaction data is only accessible to the business you deal with — not any other business on the platform.
